Reports Overview
Reports help you quickly uncover your top unknowns—almost like reverse engineering your data. With customizable queries tailored to what matters most to your business, you can spotlight hard-to-find files, unusual patterns, and key statistics.

How to Access Reports
From the Analytics menu |

Results by number of items: Shows the number of matching files and/or directories in each category returned by the selected report. Click a category name or pie-chart slice to open the matching results on the Search page. |

Results by size: Shows the total size of the matching files and/or directories in each category. Click a category name or bar in the chart to open the matching results on the Search page. |

Report: Select what you want to investigate. The available reports and their categories can be customized for your organization. |

Result size: Select how many of the top categories to display: 5, 10, 25, 50, or 100. |

Filters: Refine the report using the available filters.

How to Customize/Edit Reports
The Reports Configuration page allows admins to define and manage the named queries used by the Reports Analytics. Each entry includes a query name, a query string, and—unique to Reports—an aggregate field that determines how results are grouped for analysis.

Name: The name displayed in the Reports selector. It should be short, memorable, and clearly describe what the report investigates. |

Query String: Defines which files and/or directories are included in the report. It accepts standard Diskover/Elasticsearch search syntax.. 🔆 Think of it as: Which items should we investigate? |

Aggregate Field: The metadata field used to group and count the matching results. Reports use this field to create the top-category lists and visual summaries. In the example shown, 🔆 Think of it as: How should we categorize the results? |

Add a query: The Add Item button is located at the bottom of the page and is not shown in this image. Click Add Item to create a new Reports entry. A blank form appears where you can define the name, query string, and aggregate field. |

Remove query: Removes the selected report entry from the configuration. This action cannot be undone, so only remove entries that are no longer needed or are incorrect. |

Save: The Save button is located at the bottom of the page and is not shown in this image. After editing or adding queries, click Save to apply your changes. Return to the Smart Searches report and use Reload if the changes are not yet visible. To return to the report: Click A DiskoverAdmin or Home in the left navigation pane to return to the main Search Page or simply close the tab. |
